This Privacy Policy (“Policy”) explains how KatBill (“we”, “us”, “our”), available at katbill.com and through our Android and web applications, collects, uses, stores, shares and protects your personal and business information when you visit our website, create an account, subscribe to a paid plan, or use our GST billing and business management software (collectively, the “Service”). By using the Service, you agree to the practices described in this Policy.

KatBill operates the Service and is responsible for the personal data we process in connection with your use of KatBill. For privacy-related questions, data requests or complaints, contact us using the details in the Contact us section at the end of this Policy.

Depending on how you use KatBill, we may collect the following categories of information:

  • Identity & account data: full name, mobile number, email address, business or trade name, GSTIN, address, profile photo (if uploaded) and account login credentials.
  • Business & transaction data you enter: customers and suppliers (“parties”), products, stock, invoices, purchases, payments, expenses, cash book entries, reports, GSTR-related data and any other records you create or import into the app.
  • Subscription & billing data: plan selected, billing history, invoices for KatBill subscriptions, payment status and transaction references. Payment card, UPI or net-banking details are collected and processed directly by our payment gateway partners; we do not store full card numbers or UPI PINs on our servers.
  • Technical & usage data: device model, operating system, app version, browser type, IP address, general location (city/region derived from IP), crash logs, feature usage, session duration and diagnostic data used to secure and improve the Service.
  • Communications: messages, emails, call records or WhatsApp chats when you contact our support team, including any attachments you send.
  • Marketing preferences: your choices about receiving product updates, offers or newsletters (where applicable).

You are responsible for the accuracy of business data you enter, including customer and supplier details. If you upload third-party personal data (for example, your customers’ phone numbers on invoices), you must have a lawful basis to do so under applicable law.

We collect information when you:

  • Register for an account or sign in on our website or mobile app.
  • Subscribe to a paid plan and complete checkout through our payment partners.
  • Enter, sync or import business records while using KatBill.
  • Contact us for support, billing or refund requests.
  • Interact with our website (including through cookies and similar technologies).
  • Respond to surveys, promotions or feedback requests (if any).

We may also receive limited information from service providers such as payment gateways (payment confirmation), SMS/email delivery partners (delivery status) and analytics tools (aggregated usage statistics).

We use the information we collect for the following purposes:

  • Create and manage your account, authenticate logins and provide access to KatBill features.
  • Process subscription payments, send receipts and handle billing enquiries or refund requests within our stated policy.
  • Host, back up and display the business data you store in KatBill so you can run billing, inventory and reporting.
  • Send service-related notifications (for example, payment confirmations, security alerts, product updates or maintenance notices).
  • Provide customer support and respond to your requests.
  • Monitor, detect and prevent fraud, abuse, security incidents and unauthorised access.
  • Analyse usage trends to improve performance, fix bugs and develop new features.
  • Comply with applicable laws, respond to lawful requests from authorities and enforce our Terms & Conditions.
  • Send marketing communications where permitted by law and where you have not opted out.

We process personal data based on one or more of the following grounds, as applicable under Indian law including the Information Technology Act, 2000, the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011, and the Digital Personal Data Protection Act, 2023 (as and when fully effective):

  • Performance of contract: to provide the Service you signed up for, including account access and paid features.
  • Legitimate interests: to secure our platform, prevent fraud, improve the product and support users, balanced against your rights.
  • Legal obligation: to comply with tax, accounting, regulatory or court requirements.
  • Consent: where required for optional marketing, certain cookies or other processing for which we ask your permission.

When you pay for a KatBill subscription, payments are processed by authorised third-party payment gateways (such as Razorpay or other providers we may use from time to time). These partners collect payment information on their own secure pages in accordance with their privacy policies and PCI-DSS or applicable standards.

We may receive and store limited payment-related information such as transaction ID, amount paid, payment method type (for example, UPI, card or net banking), payment status and billing name or email for reconciliation, accounting and customer support. We do not store complete card numbers, CVV or UPI PINs.

We do not sell your personal information. We may share data only in the following circumstances:

  • Service providers: trusted vendors who help us operate KatBill, such as cloud hosting, database services, payment processing, SMS/email delivery, customer support tools and analytics — bound by confidentiality and data-processing obligations.
  • Integrations you enable: if you connect third-party services (for example, WooCommerce or Shiprocket), relevant data may be exchanged as required for that integration.
  • Business transfers: in connection with a merger, acquisition or sale of assets, subject to appropriate safeguards.
  • Legal requirements: when required by law, regulation, court order, government authority or to protect the rights, safety and security of KatBill, our users or the public.

We require service providers to use personal data only to perform services for us and not for their own unrelated purposes.

Your data is stored on secure servers operated by us or our hosting partners, which may be located in India or other jurisdictions with appropriate safeguards. We implement reasonable technical and organisational measures such as access controls, encryption in transit (HTTPS/TLS), secure authentication, logging and regular backups.

No method of transmission over the internet or electronic storage is completely secure. While we strive to protect your information, we cannot guarantee absolute security. You are responsible for keeping your password confidential and logging out of shared devices.

We retain personal and business data for as long as your account is active or as needed to provide the Service. After account closure, we may retain certain records for legal, tax, accounting, dispute resolution or fraud-prevention purposes for a period permitted or required by law, after which data is deleted or anonymised where feasible.

Subject to applicable Indian law, you may have the right to:

  • Access personal data we hold about you.
  • Correct inaccurate or incomplete account or profile information (many fields can be updated directly in the app).
  • Request deletion of your account or certain personal data, subject to legal retention requirements.
  • Withdraw consent for optional processing (such as marketing emails) where processing is consent-based.
  • Nominate another person to exercise your rights in the event of death or incapacity (where applicable under law).
  • Raise a grievance with us regarding our handling of your personal data.

Governing law & jurisdiction: These policies are governed by the laws of India.
